Practical travel

Luggage forwarding in Japan.

Send the large case ahead when it makes the journey easier, with the delivery details agreed first.

An illustrative plan. The delivery date must be agreed for the actual route.

Luggage forwarding sends a suitcase ahead while you travel with a smaller bag. It is most useful when it removes awkward handling during a short stop or a journey with several connections. Agree the delivery date with the operator and receiving hotel before building your itinerary around it.

Four things to confirm before sending.

  1. Acceptance at both ends. Ask whether the sending hotel can hand over the luggage and whether the next hotel will receive and hold it under your reservation name. Unstaffed accommodation needs a specific receiving arrangement.
  2. The delivery date and cutoff. Record the dispatch deadline, expected arrival and any storage arrangement. Pack enough clothing and essentials for that interval.
  3. The actual charge and accepted item. Obtain the rate for your suitcase and route. Yamato’s standard TA-Q-BIN accepts parcels up to 200 cm in combined length, width and height and up to 30 kg, subject to its other conditions. Size categories, contents and sending location affect acceptance. Check Yamato’s current service details.
  4. The destination details. Prepare the hotel’s name, address and telephone number, plus the reservation name and arrival date. Check the waybill before handing it over and keep the tracking receipt.

An example: Tokyo, Hakone and Kyoto.

If you have a short Hakone stay between Tokyo and Kyoto, you could send the large case directly to Kyoto and carry a small bag to Hakone. This is a planning option, not a promise of next-day delivery. Confirm that the delivery schedule and Kyoto hotel’s storage policy fit your dates.

Keep your passport, medication, valuables, chargers and the things you need before delivery with you. If you need the suitcase during the Hakone stay, carrying it or choosing another transport arrangement may make more sense.

Airport delivery has its own rules.

Airport-to-hotel delivery and hotel-to-airport delivery are different arrangements. For an airport arrival, check the correct terminal counter, opening hours, destination coverage and drop-off deadline. For departure, confirm when to send the case and exactly where and when to collect it.

Yamato offers same-day delivery from Haneda and Narita for specified destinations and drop-off times. It is not available for every hotel or arrival time. Use the operator’s current details for your airport and destination. Yamato’s Haneda and Narita delivery options.

What to do if the case has not arrived.

Start with the tracking reference and ask the receiving hotel whether it has accepted the delivery. If the expected arrival has passed, contact the operator with the receipt details. This is why the small bag should cover the agreed delivery interval, rather than only the train journey.

When forwarding may not help.

A direct journey with manageable luggage may be simpler without an extra delivery. Compare the stairs, walking and changes in your actual route against the dispatch and receiving arrangements. The aim is a journey you can comfortably manage.
